Information We Collect and Hold

By making an enquiry for commercial office, lab, workshop or industrial space and requesting information of properties we have a legitimate interest as commercial property agents to collect and hold the following information:

  • Company names.
  • Contact names in linked to specific companies.
  • Phone number(s).
  • Email address(es).
  • Address(es).

In addition, information in relation to amount of commercial property space occupied, lease lengths, rents paid, incentives offered, and similar may also be held in relation to businesses in our geographical and sectoral areas of operation.

Information may be gathered via our website where an enquiry has been made, via telephone call, in person, third party property portal (e.g. Rightmove) or other similar methods. Publicly available information such as company addresses, directors’ details, and company accounts may also be gathered and used for legitimate interests.

If any party would like their information removed from our database it can be requested and actioned within one week.

How We Use the Information

Unless specifically requested otherwise, we will share company information, but not contact information, with landlords of properties we market and joint agents acting on behalf of the same landlord for the purposes of making them aware of new, ongoing, and satisfied commercial property requirements in the general market.

This is to understand occupier trends, demand, and competition in the market. We will use contact details for the purposes of responding to enquiries and keeping in touch with businesses and / or individuals who have made enquiries with us.

Where enquiries progress to viewings or specific interest is expressed in a particular property we will share further information, including contact details, with the relevant Landlords in order to progress with the requirement.

Track Real Estate does not sell or lease its customer lists to third parties. We may, from time to time, contact you on behalf of external business partners about a particular offering that may be of interest to you. In those cases, your personal information (e-mail, name, address, telephone number) is not transferred to the third party. In addition, We may share data with trusted partners to help us perform statistical analysis, send you email or postal mail, or provide customer support. All such third parties are prohibited from using your personal information except to provide these services to Track Real Estate, and they are required to maintain the confidentiality of your information.

How We Share Information

Track Real Estate will share personal and contact information linked to a specific enquiry with landlords where prior consent has been given, either verbally or in writing.

As an intermediary between landlords and tenants / potential tenants, we will also share contact information on the grounds of legitimate interests with the landlord of a specific property if information is requested on their property via our website, via telephone call, in person, via a third party property portal (e.g. Rightmove) or other similar method(s).

Your Rights

The processing of your personal data is based on consent, you can withdraw that consent at any time.

You have the right:

  • to ask us not to process your personal data for marketing purposes.
  • To ask us not to process your personal data where it is processed on the basis of legitimate interests provided that there are no compelling reasons for that processing;
  • to request from us access to personal information held about you and to ask for the information we hold about you to be rectified if it is inaccurate or incomplete;
  • to ask for data to be erased, provided that:
    • the personal data is no longer necessary for the purposes for which it was collected.
